Experts & Workflows
Experts are specialized AI assistants that you can configure for specific tasks. Instead of using AIRA's general-purpose mode, you can send your question to an expert that is tuned for a particular type of analysis. Workflows let you chain multiple steps together into a visual plan that AIRA executes in sequence.
What Are Experts?
An expert is an AI assistant with a specific focus area. Think of experts as team members with different specialties — one focuses on data analysis, another on strategy, another on content creation.
When you ask a question through an expert, AIRA uses that expert's configuration (its system prompt, model, and settings) to tailor the response to the task at hand.
Official Experts
AccessFuel includes Official experts that are available in every workspace. These are created and maintained by the AccessFuel team.

What makes Official experts different
- Read-only — You cannot edit or delete Official experts. They are maintained by AccessFuel.
- Available to everyone — Official experts appear in every workspace automatically.
- Always active — You cannot disable Official experts.
- Duplicate to customize — Click Duplicate to create your own editable copy. Your copy becomes a Custom expert that you can configure however you like.
Want to customize an Official expert? Duplicate it and modify the copy. Change the system prompt, choose a different model, or adjust settings. The original Official version stays unchanged for everyone.
Creating a Custom Expert
You can create your own experts to handle tasks specific to your business:
- Navigate to Experts in the sidebar.
- Click New Expert.
- Give it a name and description that reflect its specialty (for example, "Holiday Campaign Planner" or "Customer Retention Analyst").
- Configure its system prompt — this tells the expert what it specializes in, what tone to use, and what kind of output to produce.
- Choose an AI model to power the expert.
- Click Save.
Once created, your custom expert appears in the expert selector when you start a new conversation or run a playbook.
Tips for Custom Experts
- Write a clear system prompt that describes the expert's role, audience, and output format.
- Be specific about what the expert should and should not do.
- Choose a model that matches the complexity of the task — more capable models handle nuanced analysis better.
Using the Visual Workflow Editor
Workflows are multi-step plans that AIRA can execute in sequence. Each step in a workflow is a task — for example, "Analyze customer segments," then "Identify at-risk customers," then "Draft a retention email."
What Workflows Are
A workflow is a visual representation of a plan with connected steps. Instead of asking AIRA to do everything in one message, workflows break complex tasks into smaller, ordered steps. This gives you more control and better results for multi-part analyses.
How to View a Workflow
- Navigate to Experts in the sidebar.
- Select an expert that has a workflow template configured.
- Click Canvas to open the visual workflow editor.
Workflow Nodes
Each node in the workflow represents a step that AIRA will execute. Nodes can include:
- Analysis steps — Query your data and produce insights.
- Content generation steps — Create reports, emails, or other written output.
- Decision points — Evaluate a condition and choose the next step based on the result.
Condition Nodes
Condition nodes add branching logic to your workflows. For example:
- "If the customer segment has more than 100 people, generate a detailed report. Otherwise, generate a summary."
- "If revenue grew this month, focus on scaling. If it declined, focus on diagnosis."
Conditions make workflows adaptive — the same workflow can produce different outputs depending on your data.
