Store, organize, and manage all your workspace documents in one place
Document Library
The Library is your workspace's central repository for documents, reports, and reference material. Everything AIRA generates, every file you upload, and every document you write by hand lives here. Your entire team can browse, search, and reference these documents from anywhere in AccessFuel.
Folder Organization
Folders let you group related documents together. You can create as many folders as you need and nest them inside each other.
To create a folder:
- Open the Library from the sidebar.
- Click the New Folder button in the toolbar.
- Give it a name and optional description.
- Choose a visibility setting — Private (only you can see it) or Shared (visible to all workspace members).
When you create a sub-folder inside an existing folder, it inherits the parent's visibility. A private folder can only contain private sub-folders, and the same applies to shared folders.
Folder actions are available from the three-dot menu on each folder card. You can rename, edit the description, change visibility, move, or delete folders from there.
Business Knowledge Folder
Every workspace has a Business Knowledge folder. It is created automatically and cannot be deleted or renamed. This folder is special because AIRA indexes its contents and uses them as context when answering questions for any workspace member.
Upload your brand guidelines, product catalogs, competitor analyses, SOPs, or any reference material here. When someone asks AIRA a question, it searches Business Knowledge documents first to ground its answers in your organization's real data.
The Business Knowledge folder cannot be deleted. It powers AIRA's understanding of your business. Documents placed here are automatically indexed and searchable by AIRA for all workspace members.
Uncategorized Documents
Documents that are not assigned to any folder appear under the main Library view. You can move them into a folder at any time using the Move action from the document's three-dot menu or by selecting multiple documents and using the bulk action bar.
Document Editor
Each document opens in a rich text editor with full formatting support. You can add headings, bold and italic text, lists, links, code blocks, charts, tables, and images.
The editor has two toolbars:
- Sticky toolbar — Fixed at the top of the editor. It contains formatting options, insert menus, and document-level actions like save and export.
- Bubble menu — Appears when you select text. It provides quick access to inline formatting such as bold, italic, code, and link insertion.
Tables
The editor supports full table editing. You can insert tables directly, and if you paste markdown-formatted table content, it is automatically parsed into a visual table.
Charts and Images
You can embed charts and images into any document. Charts generated by AIRA during conversations can be saved as artifacts and then inserted, or you can upload your own images.
Document Versioning
The Library tracks version history for your documents. Every time you save a document, a new version is recorded.
To view and restore previous versions:
- Open the document.
- Click the three-dot menu in the document toolbar.
- Select Version History.
- A side panel shows all saved versions with timestamps.
- Click Restore on any version to revert the document to that state.
Grid and Table Views
The Library offers two ways to browse your documents:
- Grid view — Displays documents as cards with previews. Good for visual scanning.
- Table view — Displays documents in a list with columns for name, source, date, and folder. Better for large collections.
Switch between views using the toggle in the toolbar.
Search and Filter
Use the search bar at the top of the Library to find documents by name. You can also filter by source:
- AIRA — Documents generated by AIRA and saved from conversations.
- Uploads — Files you uploaded directly (PDFs and other documents).
- Manual — Documents you created from scratch in the editor.
An additional type filter lets you narrow results by document format (PDF, Word, text, data).
Bulk Actions
You can select multiple documents and perform actions on all of them at once. Check the boxes on document cards or rows, and a floating action bar appears at the bottom of the screen.
Available bulk actions:
- Move — Move all selected documents to a different folder.
- Delete — Delete all selected documents.
Click Clear to deselect everything.
PDF Export
You can export any document as a professionally formatted PDF. Charts, tables, and text formatting are preserved in the export.
To export:
- Open the document.
- Click the export/download icon in the toolbar.
- The PDF is generated and downloaded to your computer.
File Uploads
You can upload PDF files directly to your Library.
- Click Upload in the Library toolbar.
- Select one or more files from your computer.
- Files are uploaded with a progress indicator. Failed uploads are automatically retried.
- Once uploaded, the document appears in your current folder and can be viewed in the built-in PDF viewer.
Private Folders and Access
Private folders are only visible to the person who created them. Other workspace members cannot see private folders or the documents inside them.
When AIRA searches for context, it only includes private folder documents for the person who created them. If you place reference material in a private folder, only your AIRA conversations will use it.
Shared folders are visible to all workspace members. Any team member can view, edit, and reference shared documents.
AIRA Document Mentions
You can reference any Library document in an AIRA conversation by typing @ in the chat input and selecting a file. AIRA reads the full document and uses it as context for your question. This works with both uploaded files and documents you created in the editor.
